The 10 HOA Provider Standards

Every business on the registry agrees to these ten standards as a condition of registration. Compliance is reviewed at intake, at each annual review, and whenever a complaint is received.

Establish Trust

Operate under a verifiable identity, a real place of business, and accountable ownership.

  • Register under the legal business name and any trade names in use.
  • Maintain a physical business address, not solely a mail drop.
  • Identify at least one owner or officer accountable for registry matters.

Operate Legally

Hold every license, registration, bond, and insurance policy the work and jurisdiction require.

  • Keep state and local contractor or trade licenses current for every jurisdiction served.
  • Carry general liability insurance and workers' compensation coverage where required.
  • Provide certificates of insurance to communities on request.

Advertise Honestly

Make no claim, credential, or affiliation that cannot be substantiated.

  • Represent registry status accurately and only while it is current.
  • Do not imply endorsement by an HOA, a government body, or the registry.
  • Substantiate warranties, guarantees, and experience claims on request.

Communicate Professionally

Respond to boards, managers, and residents promptly, clearly, and respectfully.

  • Acknowledge inquiries within two business days.
  • Provide written scope, schedule, and points of contact before work begins.
  • Notify the community in advance of schedule changes or delays.

Price Transparently

Provide written pricing before work begins and disclose any change before it is billed.

  • Issue itemized written estimates or contracts prior to starting work.
  • Obtain written approval for change orders before performing additional work.
  • Disclose all fees, surcharges, and payment terms up front.

Respect the Community

Follow posted community rules, access hours, and site conduct expectations.

  • Observe gate procedures, vendor hours, parking rules, and noise limits.
  • Leave common areas and residences clean and secured at the end of each day.
  • Coordinate with management before work that affects shared amenities.

Protect Residents

Screen field personnel, secure property, and safeguard resident information.

  • Conduct background screening for personnel who enter residences.
  • Issue identification and uniforms so residents can recognize authorized crews.
  • Collect only the resident information needed to perform the work and keep it confidential.

Resolve Problems

Address complaints in good faith and participate in registry-facilitated resolution.

  • Respond to a registry complaint notice within ten business days.
  • Correct defective work or make a fair adjustment when a complaint is substantiated.
  • Honor written warranties and guarantees.

Maintain Accurate Records

Keep registry information current and report material changes within 30 days.

  • Report changes in ownership, legal name, licensing, or insurance within 30 days.
  • Keep contact information current so communities can reach the business.
  • Retain job records, permits, and inspection reports for the period required by law.

Protect Marketplace Integrity

Never solicit, purchase, or fabricate reviews, and never misuse registry marks.

  • Do not offer incentives for feedback or submit feedback on the business's own behalf.
  • Use the registry seal and Registry ID only as permitted by the mark usage guidelines.
  • Do not interfere with another business's record or feedback.

Every business accepts all ten standards during the registration flow. Communities can request a signed standards attestation at any time.
